11. VIDEO MEETINGS AND COMMUNICATIONS

Mentors and Mentees may communicate using Zoom as a third-party platform. When mentors choose to connect their Zoom account to their Mentorbud dashboard, we use Zoom’s OAuth authorisation process to obtain permission to access limited information and functionality within their Zoom account.

The purpose of this integration is to allow Mentorbud to automatically create, manage, and synchronize Zoom meetings for mentorship sessions booked through our platform.

Depending on the permissions granted by the user, Mentorbud may access:

  • Basic Zoom account information, including name, email address, account identifier, and profile information.
  • Zoom meeting information necessary to create, update, and manage mentorship sessions.

Mentorbud does not access Zoom meeting recordings, chat messages, contacts, or any information unrelated to scheduling and managing mentorship sessions.

Access to Zoom account information is only obtained after the user explicitly authorises the connection through Zoom’s OAuth consent process.

Storage of Zoom Data

Mentorbud stores only the minimum information necessary to maintain the Zoom integration and support mentorship bookings.

This may include:

  • Zoom User ID
  • Zoom Account ID
  • Zoom Email Address
  • OAuth Access Tokens
  • OAuth Refresh Tokens
  • Zoom Meeting IDs
  • Zoom Meeting Join URLs
  • Meeting Start URLs

OAuth tokens and integration credentials are stored within our secured application infrastructure and database with appropriate access controls. Sensitive credentials and tokens are stored in a protected manner and are never publicly accessible.

Mentorbud does not store Zoom meeting recordings, meeting chat content, audio, video, transcripts, or participant communications.

Zoom-related information is retained only for as long as necessary to provide the integration or until the user disconnects their Zoom account.

Disconnecting Zoom Integration

Users may disconnect their Zoom account from Mentorbud at any time through their account settings or by contacting our support team.

Once the integration is disconnected, Mentorbud will no longer be able to create or manage Zoom meetings on behalf of the user.
